# Facilities management giant transforms their business with an AI roadmap grounded in observed reality

Under the cost and regulatory pressure facing every UK enterprise, Mitie made a deliberate choice: see how work actually happens before deciding what to change. Skan AI turned that into a quantified, cross-functional roadmap.

> "Skan AI has been an important partner helping us better understand how work actually happens across our operations. Their technology gives us unprecedented operational visibility that has dramatically accelerated our AI transformation. We're excited to continue working together as we scale what's possible with AI across the business."

Mitie is a leader in facilities management, engineering and professional services, managing critical infrastructure with more than 75,000 employees across the United Kingdom. Rising regulatory and cost pressure met a public commitment to intelligence process automation, ultimately driving on ambition: redefine facilities management for the age of AI.

## The journey toward a data-driven roadmap

Work orders, scheduling, procurement and query handling all ran — but they ran across systems that didn’t talk, with people bridging the gaps by hand. Before Mitie could automate with confidence, it needed a factual view of how work was actually being done.

Skan observed work across the organization, capturing how tasks moved through applications, where they repeated and where people were manually bridging systems — rather than docs, logs, or recall.

Key findings

11.8M

Manual data actions in a single application pair

5,000

Operator workflows observed across the estate

40%+

High-volume copy-paste that touched a bridging spreadsheet

4

Digital levers, sequenced by impact and feasibility

## What the data revealed

With work in view, the patterns were unambiguous. The biggest opportunity wasn't any single task — it was the manual effort of moving information between systems that were never connected.

### OBSERVED-WORK TELEMETRY

How tasks actually move through every application, captured as work happens

### EFFORT, RANKED BY SYSTEM

Where work concentrates and which applications carry the load.

### DUPLICATION MAPPED

The same task type repeated across systems, surfaced and quantified.

### A PRIORITIZED ROADMAP

Findings grouped into four digital levers, sequenced by impact.

> Skan allows us to have a complete view of each function and how they operate day-to-day. You need that granular detail and the facts on processes, on teams, on functions to allow you to deliver and transform the processes and the company to a more efficient way of working.

THE ROADMAP

## Redefining facilities management for the age of AI

Every finding grouped into four digital levers, ordered so the foundational fixes come before the automation they make possible. The sequence is the point.

STAGE 1

### Data fixes

Standardize key fields across systems and centralize reference data so it's pulled, not re-keyed.

STAGE 2

### System integration

Connect the systems between workflows, with shared sources of truth instead of manual handoffs.

STAGE 3

### Standardization

One process taxonomy across the organization so identical tasks are handled the same way.

STAGE 4

### Automation

Hand repetitive, rule-based work to automation and AI agents.

## What's next for Mitie

Mitie set out to redefine facilities management for the age of AI. By choosing to see its operations clearly before automating them, it built the foundation that makes everything else it wants to achieve with AI possible — and showed how a forwardthinking operator turns cost pressure into competitive advantage.
